How to keep a guest list from falling apart

  1. 1Separate adults from children on day one. The venue counts them differently for the menu and for the price per head.
  2. 2Mark the plus-one next to the guest you actually invited. Otherwise the venue conversation ends with seats nobody remembered.
  3. 3Collect both families' lists before your own. Parents keep adding names the longest and they move the final number the most.
  4. 4One person owns the file. Two copies in two inboxes guarantee somebody gets invited twice, or not at all.
  5. 5Set a date when the list closes, before you talk numbers with the venue, and hold it. After that day, changes go to the waiting list.

Start with a simple sheet holding first name, last name, email, phone, group, table and notes. Collect both families' lists first, because they take the longest to finish, then add your friends and colleagues. Next to every name, settle three things right away: whether this is a child, whether the guest brings a plus-one, and which side of the couple invited them. Those three drive the seat count and the menu, and they always get lost when left to the end. Once the list roughly closes, count the seats: guests plus plus-ones, children counted separately. That is the number you take to the venue. Our free guest list template has those columns ready, adds the totals up for you and exports to Excel or CSV, so you do not have to build formulas from scratch.

There is no trial, no time limit and no charge at the end. The list saves into your browser's storage, so you can close the tab and come back tomorrow on the same device. An account on Strona Weselna becomes useful later, when you want to collect real answers through online RSVP, keep the list available to both of you on two devices, and plan tables and place cards from it. At that point you just upload the file you downloaded into the guest dashboard.

The bare minimum is a first and last name, because without them a guest cannot be invited or imported. Then come contacts: email if you send invitations and the RSVP link digitally, and a phone number for chasing the ones who stay quiet. A group column (bride's family, groom's family, friends, work) lets you filter the list and plan tables without reading through everything at once. A table column gets you ready for the seating plan, and notes collect diet, allergies, accommodation and travel. Beyond that, three fields are worth keeping purely for your own planning: side of the couple, plus-one and child. Our template has all of them, and the first seven are named exactly the way the guest dashboard import expects.

If you are signing up on another device, the file route still works: download the Excel or CSV, choose import in the guest dashboard, pick the file and check the preview. The first seven columns - first name, last name, email, phone, group, table, notes - land in the right fields with no manual mapping, because the template uses exactly the names the import looks for. The remaining columns (side, plus-one, child, planned RSVP) are skipped by the import, so that information stays in the sheet as your planning note. Either way, rows missing a first or last name are dropped. The editor shows how many such rows you have, so no guest disappears quietly.

If you are comfortable in spreadsheets, already started a list, or want to send a file to your parents to fill in, download the Excel template and work your own way. If you would rather not fight formatting and want the totals immediately, use the editor on this page: add a guest, tick child or plus-one, and the seat count recalculates itself. The list you type into the editor is never sent anywhere. It stays in this browser's storage on this device, and downloading the file is the only moment it leaves the browser - and then it goes to your own disk, not to us. We need no account for this, we do not ask for your email, and we do not collect the names of the guests you enter. Two things are worth remembering. First, clearing your browser data or using a private window wipes the list, so download the file once it holds a decent number of names. Second, you are typing other people's details - keep the downloaded file where you keep your other private documents, and do not pass it on without a reason.
